Objectives
Fun was the order of the day as Rolls Royce tasked us with organising a day to remember for 5,000 people – in less than seven weeks!
The event was to be for their employees and their families with Derbyshire County Cricket Club’s ground being chosen as the venue.
With little time for planning, this was to be one of our biggest challenges to date…
Solution
This family fun day was to be given a festival feel and would use the whole of the cricket ground.
We were to plan all the health and safety aspects of the event, as well as sort all the theming, entertainment and catering.
Our team was able to deliver a full stage set which played host to five acts in total during the day, three of which we sourced (Oasis and Sam Fender tributes and Deco).
We brought in a stretch tent and worked with a theming company to make the whole pitch look like a festival.
There were inflatables, sports-related games for all ages, various stalls with prizes, face-painting and temporary tattoos while the bubble and balloon artists were probably the biggest hit!
We produced a site map which was displayed in the grounds on the day so everyone knew what was happening and when.
Results
Despite not having much time to prepare this important event, we were pleased to report it all went off smoothly.
There were additional requests in the run-up to the event, as well as on the day, including organising a silent disco.
We were able to pull it all together thanks to our experience of organising fund days and festivals, as well as thanks to our trusted suppliers who were able to deliver exactly what our clients wanted.
Despite a significant budget, we were still able to provide Rolls-Royce with cost effective options for the day and they were delighted with the results saying ‘they could never have arranged an event like this in such a short space of time without our help’.
It was a real team effort to pull this one off – in the run-up to the event, as well as on the day as we were out in force on site to ensure everything ran smoothly.
