When Should I Start Planning an Event?
The short answer? Earlier than you think!
One of the biggest misconceptions in event planning is that everything comes together in the final few weeks. While that's often when the excitement builds, the most successful events are usually months in the making.
Whether you're organising a leadership conference, incentive trip, awards dinner, customer event or networking reception, giving yourself enough time to plan properly can make the difference between simply delivering an event and delivering an exceptional experience.
Why Starting Early Matters
The earlier planning begins, the more options you have.
Need a specific venue? Popular dates and venues can book up months, and sometimes years, in advance.
Hoping to secure a keynote speaker, unique entertainment or premium production elements? The best suppliers are often in high demand, especially during peak event seasons.
Starting early also gives teams time to be more strategic. Rather than rushing decisions, you can focus on audience engagement, event objectives, content, delegate experience and creating measurable outcomes.
So, How Much Time Do You Need?
Every event is different, but as a general guide:
3-6 months Ideal for smaller events and straightforward conferences.
6-12 months Recommended for larger conferences, awards events, exhibitions and incentive programmes.
12+ months Often required for international events, complex multi-day programmes, major conferences and large-scale experiences where venue availability and logistics are critical.
